Securing Your Place on the Trail

The moment you say, “Yes, I’m going to Nepal!” We started preparing for you. To confirm your place, we request a small booking deposit (usually 20 to 30% of the cost of travel). This deposit is not just money – it is your key to Himalayan.

We immediately started organizing licenses, booking tea homes, booking household flights, and assigning one of our trusted guides to your journey. Once the deposit reaches us, you’ll get a warm confirmation along with pre-trip advice to help you prepare.

Making the Deposit Easy

We know every traveler has their preference when it comes to payments, so we keep it flexible:

• Bank Transfer – secure, though it may take a few days.
• Credit/Debit Card – quick and simple (just note small bank fees may apply).
• Cash – if you prefer, you can settle some payments once you arrive in Kathmandu.

Whichever method you choose, we’ll provide clear instructions so there’s no confusion.

Balancing the Rest

The remaining cost of your trek is generally paid after your arrival, before the beginning of your trip. Most trekkers prefer to pay in USD, euros, or Nepalese rupees, but we are also flexible with other important currencies.

For some longer expeditions, luxury tours, or large groups, we can ask for the total balance in advance. If this is the case, we will always inform you clearly during the booking process.

What Happens if Plans Change

Life is unpredictable—we understand that. That’s why we handle cancellations and changes with fairness:

• Before Arrival in Nepal: Your booking deposit is usually non-refundable, since it’s already spent on permits and reservations. But whenever possible, we allow you to use it for a future trek with us.
• After Arrival: Refunds depend on how much has already been arranged and paid for.
• If You Stop Mid-Trek (due to illness, fatigue, or change of mind): unused portions of the trip are usually non-refundable, as guides, porters, and logistics are already committed.
• If We Cancel (due to safety issues, weather, or strikes): we’ll either refund you fairly or arrange an alternative trek of equal value.

Your Safety Net – Travel Insurance

One of the most important things we recommend is comprehensive travel insurance. Although travel insurance covers guides, accommodations, licenses, and logistics, it does not include emergencies such as helicopter rescue, medical treatment, or unexpected cancellations.

Good insurance gives you tranquility, knowing that no matter what happens, you are covered.

What’s Included—and What’s Not

We believe in no hidden costs. Your trek fee covers everything listed in your chosen itinerary: permits, domestic flights, accommodation on the trek, meals (if included), guides, and porters.

Extra expenses like international flights, meals in Kathmandu, tips, souvenirs, and personal shopping are not part of the trek fee. We’ll always make this clear before you confirm your booking.
